Refund Policy – Services & Products Division
Effective Date: June 2013 (As Approved by the Board of Management)

This Refund Policy applies to all services and products offered by Arrow Pest Control Kenya from June 2013 onwards, and supersedes any prior policies. Refunds shall be granted only in the specific circumstances outlined below, and subject to strict compliance with the conditions herein.

1. Cancellation of Services

  • Where a customer cancels a confirmed service before execution, 25% of the quoted amount shall remain payable as a non-refundable booking and administrative fee.

2. Non-Attendance by Staff

  • Where our staff fail to report to site without prior notice, a 100% refund shall be processed within seven (7) days of written reporting by the customer.
  • Refunds shall only apply where the booking was fully paid in advance.

3. Completed Services & Supplied Goods – Dissatisfaction

  • In cases where services were rendered or goods supplied but the customer reports dissatisfaction, only a 50% refund shall be considered.
  • This refund shall be processed within thirty (30) days from the date of verified reporting.
  • Dissatisfaction must be substantiated with written, photographic, or documentary evidence.

4. Customer Misconduct or Mishandling of Staff

  • Where a customer is found to have abused, mishandled, or obstructed our staff during service delivery, only 5% refund shall be considered, payable within thirty (30) days of reporting.

5. Opened, Tampered, or Used Products

  • Where the seal of chemicals is broken, fumigation not carried out, or products received but partially used, the following applies:
    • 25% refund on unopened service-related chemicals.
    • 50% refund on products supplied in original packaging.
  • Refund shall be processed within thirty (30) days of written reporting.

6. Late or Non-Reporting

  • Any claims or refund requests submitted after thirty (30) days of service or product delivery shall be automatically invalid and non-payable.

7. Reporting Errors by Customer

  • Where a customer provides erroneous, false, or incomplete details in their refund claim, a maximum of 10% refund shall be considered, processed within seven (7) days.

8. Negligence of Staff Advice

  • No refund will be processed (0%) in cases where customer negligence or failure to follow staff instructions results in:
    • Damage to property,
    • Harm to pets,
    • Continuation of pest infestation.

9. Non-Compliance with Payment Terms

  • Reports received from customers with outstanding balances, delayed payments, or non-adherence to agreed terms shall only qualify for a 2% refund, within seven (7) days.
  • Refunds on products shall be made less VAT, less a 25% transport/inconvenience fee, and less 25% depreciation of products supplied.

10. Mode of Refund

  • Refunds, where applicable, shall be issued strictly via M-Pesa or company cheque only.
  • Disbursement shall occur after expiry of the specified processing period.
  • Dissatisfied clients may escalate complaints through formal written correspondence via email, specifying the grounds of unfairness.

11. Finality of Refunds

  • Goods once sold cannot be returned, and refunds cannot be processed more than once for the same product or service.
  • Repeat refund requests on the same transaction shall be automatically rejected.

12. Product Measurement & Returns

  • All goods sold are accounted for in litres (chemicals) or pieces (equipment/rodents control units).
  • Products sold in partial quantities outside their standard packaging are non-returnable.
  • Chemicals are strictly non-returnable. Only equipment may be returned, and only if proven faulty under manufacturer warranty.

13. Satisfaction Disclaimer

Customer satisfaction is subjective and cannot be measured against company performance once services have been rendered in compliance with professional standards. Refunds are therefore granted solely as outlined above, and no further obligations shall be imposed on the company.
